
Policies

Our practice is committed to providing the best treatment for our patients and we charge what is the usual and customary fee for comparable services. Cash payments and Co-Pays for speech and language therapy services are due and payable at the time that services are rendered. We accept most insurance, cash, checks, and VISA/Master Card/ Discover. You are responsible for payment of your bill, regardless of whether your insurance company denies the claim. If you have insurance coverage with one one of our in-network insurance providers with whom we have signed a contract, then we will accept whatever they determine to be your charges for the service (this includes your co-payment and/or deductible). We will "write-off" the difference.
Illness
If your child has a fever, a persistent cough, or a runny nose, please call and cancel your appointment. Because of the close proximity of the therapist to the child's face, it is easy for the virus to be spread. Your therapist needs to see many children over the course of the week and cannot afford to be out sick frequently. In addition, toys and table surfaces would need to be sanitized between therapy sessions to prevent subsequent children from being infected. A general rule of thumb is that if a child has been on an antibiotic for 24 hours and does not have a fever, is not coughing frequently, and does not have a runny nose, he is probably not contagious. We appreciate your understanding and will be happy to reschedule your appointment. We appreciate three hours notice if you are canceling; however, we also understand how illness in young children can occur suddenly, so you will not be penalized with a fee if you call even an hour before your appointment. Just be sure to tell the receptionist who answers our phones that your child has suddenly become ill. We understand!
Attendance
Please contact our office by calling 918-615-6492 ext. 1 or emailing
appointments at tulsasunshinecenter dot com if your child is unable to attend his regularly
scheduled therapy appointment. Cancelled appointment notifications must be made
24 hours in advance with the exception of emergencies and unforeseen illnesses.
The following definitions and procedures apply to all attendance policies:
A) Reschedule / Appointment Cancellation
Definition: A rescheduled or appointment cancellation is any appointment
changed/cancelled by phone or in person at least 24 hours in advance. This is
completely acceptable. We understand that things come up in your busy lives!
B) Improper Cancellations
Definition:
An unacceptable cancellation is any appointment cancelled by phone or in person with
less than 24 hours notice with the exception of emergencies and unforeseen illnesses.
Cancellation Procedure:
If your child's attendance rate falls below 75%, your child's recurring therapy time will
be offered to another client on the recurring appointment waiting list and you will be
placed on the "Will-Call" list. Once your attended appointment percentage increases
above 75% for 4 consecutive weeks, the client may have the option of re-joining the
recurring therapy schedule if there are available time slots.
C) No Shows
Definition:
A "no show" is any cancelled or missed appointment(s) without giving the office at
least 3 hours notice prior to scheduled appointment.
Procedure:
After 2 consecutive no show appointments or a "no show" occurrence of greater than
20%, your child will be taken off of the recurring therapy schedule and placed on the
"Will-Call" list. The office staff will then call you in the event an existing client cancels
an appointment. After 4 consecutive attended appointments utilizing the "Will-Call" list,
the client may have the option of re-joining the recurring therapy schedule. However,
the office cannot guarantee you will receive your previous scheduled appointment time
slot.
D) Late arrivals/Pick-ups:
Definition:
A late arrival occurs when the client is more than 10 minutes late for the scheduled
appointment. e.g., If the appointment is scheduled for 3 p.m., and the client arrives at
3:11 p.m., they are considered late. If a parent leaves Tulsa Sunshine Center during
their child's scheduled appointment, it is necessary for the child to be picked up by the
end of the scheduled appointment, as to not interfere with another child's therapy
appointment. The Therapist is likely to have back to back appointments, and cannot
be late for the next appointment.
Procedure:
If your arrival or availability time is 10 minutes or more after your scheduled
appointment time, your therapist may have been reassigned to another child's care
and your appointment may be cancelled. If you are unsure about whether you can
arrive or be available within this time frame, call the clinic and/or therapist to inform
them you are running late. Your therapist will determine whether you should
reschedule the appointment. A consistent pattern of late arrivals and/or pick-ups will
result in a review of your services and possible cancellation of services from Tulsa
Sunshine Center Pediatric Therapy.
